Access
- To Access the System Setup screen you will need to ensure that all other ClockOn Windows are closed. Navigate to Setup > System Setup
- Click on the Other Tab
Time server active: this is enabled when the time server settings are to be used.
- Time Server: Enter the designated “computer name” or IP address from which ClockOn will obtain its time. ClockOn can be pointed to draw its time from the Windows OS on a secure server or PC on the network. This prevents ClockOn drawing the incorrect time from the PC due to an employee attempting to fraudulently adjust the Windows system time on the local client. Private Dir, Data Path and Report Path: These are read-only Settings fields that are loaded at installation and are provided for support purposes only.
- Remote Encryption: This option will turn on remote encryption the next time the user opens ClockOn. Once it is on all data in 'transit' (while sending and receiving), will be encrypted and decrypted.
- Two Factor Auth: This option is used to ensure all administrative users to use two-factor authentication when accessing ClockOn. View the two-factor authentication chapter on how to configure the options.
- Data Path: This field is not accessible but is taken from the system setting upon the initial setup of ClockON. It represents the location of ClockOns data files.
- Report Path: This field is not accessible but is taken from the system setting upon the initial setup of ClockON. It represents the location of ClockOns report files.
Additional Options
- Import Logs at Login: If the Import Logs at login box is enabled, then when an employee logs on to ClockOn their clocked times that may have been logged via a biometric terminal or from use of the clock on and off feature will automatically be included into ClockOn in order to match them against rostered times. If the Import Logs at login box is not enabled then when the employee accesses one of the options within ClockOn such as Rosters, Time Sheets, Payroll or Employee setup, then their clocked times will be imported at that time instead of when the employee logs into ClockOn.
- Start with Windows: ClockOn automatically starts when the server or PC on which ClockOn is installed is started up. This option is particularly useful in a Terminal Services environment where remote stores are logging into the server. When a remote site logs into the server, ClockOn starts concurrently, ready for log in by the remote store operator.
Purge
- Purge Alerts: When enabled, alerts within ClockOn will be purged automatically
- Purge Reminders: When enabled, reminders(expired) within ClockOn will be purged automatically
- Purge Requests: When enabled, requests(actioned) within ClockOn will be purged automatically
- Purge Scheduled Jobs: When enabled, scheduled jobs(completed) within ClockOn will be purged automatically
- Purge Period: This is the number of days that records will be retained when purge is run. For example, if this is set to 7 and a purge is run, then only records that are flagged for deletion that are older than 7 days will be removed from the system.
- Purge button: This will perform a purge immediately when selected.
Help File Mode
- Help Mode: Select Web then Local files to instruct the system to locate the help files from the web. When the web is not available the system locates the help from your local computer. Select Local files only to instruct the system to locate the help from your local computer without checking the web.
Scheduler Service
- Activate: this enables the scheduler service to run. Email blasting payslips, email blasting rosters and log imports will be scheduled. (note: this will only be available if the scheduler has been installed on your system by ClockOn technical services).
- Create Late Shifts for ordinary Hours: If an employee has not clocked on/off on a day that they normally work (as determined by their working week in the employee file) the scheduler will automatically create the shift for them.
Log Import
- Log import: this is the time period that the scheduler will run. In this example it will run every 5 minutes.
