This guide will display how to setup a "Google app password". Provided you have set up a Google Gmail account, ClockOn can be configured to use the Gmail email servers to send rosters and payslips.


NOTE: Please be aware due to the recent changes of google removing the functionality of "Allow less secure Apps" option as of May 30, 2022 to help keep your google account secure. Two Factor Authentication must be enabled to continue using mail service.

Configuring Two-Factor Authentication (Gmail) 

As ClockOn uses the direct SMTP method for sending emails you must adjust the following settings on your account to continue to allow the process of emails being sent out.

  1. Ensure that you can log in to the G-mail account from the server machine, this will ensure that it is a trusted device.
  2. If Two Factor Authentication is Enabled, setup Sign in using app passwords on your Google account.


IMPORTANT NOTE: Be sure to take a note of your Gmail App Password, which will be generated at the end of the setup. The password will be displayed in yellow as shown below and will only be shown on this screen, once the screen is closed it cannot be recovered.


Be advised also, that if your "Two-Factor Authentication" is ever reset/changed, the app password you created will be cleared and this setup process will need to be repeated to allow emails to be sent through ClockOn.


Setup of Google E-Mail Server


Once the above settings have been checked enter the following details into the System Setup screen as detailed below.

  1. Send From: Your Gmail email address (example@gmail.com)
  2. Reply Email: Your Gmail email address (example@gmail.com)
  3. SMTP Server: smtp.gmail.com
  4. SMTP Port: 465
  5. SSL/TLS Support: Implicit SSL/TLS Support (Gmail, Yahoo)
  6. Delay: 0
  7. User Name: Your Gmail email address (example@gmail.com)
  8. Password: Your new Gmail "App Password"
